Conference video production in the Balkans: notes from the Regional Trade Summit 2026

Good conference video production delivers content while the event is still running, not just a recording of it. That takes an editor on site, graphics built before the doors open, and one short-form clip after every panel. It is how we covered the second Regional Trade Summit, held 28–29 October 2026 at the Banski Dvor Cultural Centre in Banja Luka, Bosnia and Herzegovina.

Last week we spent two days at the Banski Dvor Cultural Centre in Banja Luka, covering the second Regional Trade Summit. Cameras in the hall, an editor backstage, and a finished reel for the summit’s channels after every panel.

This is what that looks like from the inside — and what anyone running a conference, summit or trade fair in Southeast Europe should know before booking a production crew.

What the Regional Trade Summit is

The summit brings together retail chains, producers, distributors, e-commerce platforms, chambers of commerce and public institutions from across the Western Balkans. It is organised by UG Samit from Banja Luka, and the second edition ran on 28 and 29 October 2026. Alongside the stage programme there are B2B meetings and a shared dinner where the panel conversations carry on.

The programme had five panels and three talks:

  • A conversation with Milorad Dodik on politics, trade and the region’s larger challenges
  • “Privreda povezuje region” (Business connects the region) — regional chambers of commerce and m:tel
  • “Od velikih snova do velikih priča” (From big dreams to big stories) — Vedran Pušić and Božo Janković
  • A talk by Aleksandar Mastilović on AI in retail
  • A talk by Dr Kenan Crnkić on the path to high performance
  • “Viralno sa sela” (Viral from the village) — Vera Škulić, Luka Vračar and Zdravko Perić, moderated by Dr Saša Lalić
  • “Nova era trgovine i dostave” (The new era of retail and delivery) — Marko Carević (Ananas), Marinko Tomić (EuroExpress), Srđan Pešević (m:tel)
  • “Od treninga do tržišta” (From training to market) — Ilijana Bodlović, known as Fitness Anny

Eight sessions, eight different audiences. How we filmed them is in the Regional Trade Summit case study.

What an organizer is actually buying

Most organizers ask for “event filming”. What they need is something else: proof for sponsors, a reason to attend next year, and clips the speakers will share with their own following.

None of that comes from a full-day recording. It comes from short formats published while the subject is still live. That is why video production for an event starts with a question, not a camera: what has to go out, when, and to whom.

At the summit the answer was simple — one vertical clip after every panel, ready for Instagram and Facebook, with the speaker’s name on screen and captions for sound-off viewing.

Three themes from the stage that apply well beyond the region

A trade summit is a good cross-section of what businesses are dealing with this year. Three of the topics on the programme overlap directly with the work we do for clients in the US and Europe.

Delivery is part of the product

The delivery panel put an e-commerce platform, a courier company and a telecom operator on the same stage. That is the whole chain the customer never sees, but feels the moment a parcel is late.

For any brand selling online it means the store does not end at the checkout button. Page speed, clear shipping costs and a payment step without friction belong to the same story. It is the core of how we approach e-commerce builds, and why we compared the two common platforms in Shopify vs WooCommerce.

AI is already choosing on the customer’s behalf

One talk was devoted to how AI is changing the rules of retail. The topic is timely: buyers increasingly ask ChatGPT or Google’s AI answers what to buy and where, and get a recommendation without opening a single website.

A company the assistant does not mention does not exist for that buyer. How to check and fix that is what our AI visibility work covers, and the short version is in does ChatGPT recommend you.

“Viral from the village” is not a joke

The agriculture panel has a title that sounds tongue-in-cheek, but its subject is serious: the route from production to the consumer. From where we sit, a small producer can now reach buyers without a middleman, provided they publish content people actually watch and forward.

A short clip from the farm, the workshop or the kitchen does the job of an ad, except people trust it more. It does not need a large budget, it needs a plan and consistency.

How on-site production works

We have run the same chain two years in a row at Adria Sports Conference, so at the summit it was routine:

Graphics before the opening. Names, titles and panel names go into templates the day before. During the event they are only filled in.

Filming with a plan. The cameras do not just record each session end to end; they look for the moment that will carry the short format — a line, an audience reaction, the applause.

Editing backstage. The moment a panel ends, footage goes to the editor. One idea is selected, not the whole session.

Delivery without rounds. The finished clip goes to one person on the organizer’s side for sign-off, then straight to social.

From the end of a panel to the post going live takes roughly an hour.

Why organizers from abroad hire a crew here

If you are bringing a conference to Belgrade, Banja Luka, Sarajevo or Zagreb, flying in your own production team is the expensive option. A local crew knows the venues, the power and connectivity situation, and how to work in the local language with the speakers. Rates sit well below Western European crews for the same setup.

What a local crew covers, and what the venue still has to provide, is laid out in streaming an event in Belgrade. If part of your audience cannot travel, a multi-camera live stream can run from the same setup that produces the reels.

For agencies with a client event in the region, we also work as a white-label production partner: filmed and edited under your name, with an NDA, and no trace of S1 Digital in the files.

A checklist for organizers

  • Book production together with the programme, not as the last line item. Three to four weeks out is the minimum.
  • Send the schedule and speaker names in advance, with exact titles and correct spelling.
  • Provide a desk with power backstage. It does not need its own room, but it needs quiet.
  • Name one person who approves posts. Every extra approval round eats the speed advantage.
  • Agree the number of deliverables up front. It decides how many people the crew brings.

If you are planning something similar, send us the date and the programme and we will tell you how many people and formats make sense for your event.

Common questions

What does conference video production include?

Coverage of the stage, the audience and the room, short-form edits for social media, name graphics for every speaker and captions for sound-off viewing. On request, full-length panel recordings for the archive, photography and a live stream. One crew handles all of it, so there is no hand-off between the camera team and the edit.

How far in advance should production be booked?

Three to four weeks before the event at the latest. That leaves time to see the venue, agree the number of deliverables and build the speaker graphics. A crew booked a few days out can still film the event, but rarely has time to plan it.

Can you work as a white-label crew for another agency?

Yes. We regularly film and edit under another agency's name, with no S1 Digital branding on files, graphics or communication with the end client. An NDA is standard. The agency keeps the relationship and the margin, we keep the cameras running.

Do you travel outside the Balkans?

Yes. The crew is based in Belgrade and Derventa and works across Europe. Travel and accommodation are quoted as separate line items so you can see them, rather than find them inside a day rate.

How is the work invoiced?

In euros, by bank transfer, from our European company. The quote lists crew, days, deliverables and travel separately, so it can be compared line by line with a local crew in your own market.
